When you work with Exactica, you work directly with the people doing the work. Every engagement follows the same six steps.
Discovery
Every engagement starts with listening. We sit down with you and the people who do the work, look at how things stand today, and learn how information actually flows through your business: the processes, the pressures, and the habits that have grown over the years. We take the business context as seriously as the technical requirements, because a solution that ignores how you work will not be used.
This phase usually takes a handful of conversations and a look behind the scenes, not weeks of workshops. At the end of it, we can describe your situation in your own words, and you can tell early whether we are the people you want at the table.
Assessment
Then we tell you what we honestly think. Which approach fits, what it roughly takes, where the risks are, and whether the timeline you have in mind is realistic. If the right answer is smaller or simpler than you expected, we say so, and if an off-the-shelf product covers your need, we recommend it instead of building something new. You get a clear picture before any money is committed.
The assessment ends in something you can hold: a written recommendation of what we would do, in what order, and at what rough cost. It is yours either way.
Design
Depending on what you need, the solution can be the design of a new system, the setup of your infrastructure and tools, the structure and look of your web presence, or a technology plan with priorities and rough costs. Every choice is made with the next years in mind, favouring proven technology and maintainability over fashion, so what we design keeps fitting as your business changes.
Design covers more than the visible part: data, integrations, access, security, what happens when something fails, and what stays manual on purpose. We write it down in language both sides understand, so you can question any part of it before it becomes expensive to change.
Implementation
Then we do the work: building software, setting up infrastructure and tools, bringing your website and online presence to life, or standing beside you in vendor negotiations. We work in small, visible steps, with regular updates in plain language and results you can see early. You always know where things stand, what comes next, and what it costs.
You will not disappear into a delivery black hole. We work in short cycles, show progress as working results rather than status slides, and flag problems when they appear, not when they become unavoidable. Changes along the way are discussed openly: what they cost, what they push, what they replace.
Testing
Before anything becomes part of your daily operations, we verify it: the functionality, the edge cases, the data, the accounts and access, and the handover to the people who will work with it every day. Whether it is a new system, a moved mailbox, or a new website, where it matters we run the new and the old way side by side until you are confident.
Testing is not a formality at the end; it runs alongside the work. Still, before the switch we slow down on purpose: real data, real users, the annoying edge cases from daily business. Your team gets trained on the result, not handed a manual.
Maintenance & Ongoing Partnership
The handover is the middle of the relationship, not the end. We keep systems updated and secure, watch how they behave, fix what breaks, and adapt what exists as your business grows and changes. The same care goes to your infrastructure, your website, and your online presence. Most of our client relationships are measured in years, and that is by design.
In practice this means updates and backups happen without you asking, small improvements ship regularly, your website and profiles stay current, and when something feels off you call the people who built it. As your business changes, the system changes with it, and the knowledge stays with the partnership.
